ROLE PURPOSE
The Employee Experience Coordinator will lead and support Aesop’s efforts to create and provide a welcoming and memorable experience for all new starters and support a meaningful employee experience for all head office and retail staff. As a visible role, the Employee Experience Coordinator will have frequent interactions with all team members based in our main office in New York along with our regional offices in LA and Toronto, including internal and external employees and guests.
They will also work to align, research, develop, and execute process improvements for the office, employee experience, well-being and onboarding processes.
PRIMARY RESPONSIBILITIES
EMPLOYEE EXPERIENCE & COMMUNICATION

Creates and manages a yearly calendar for all cultural, employee experience, well-being and global events

Champions volunteering initiatives (Retail and Office teams)

Coordinates weekly employee newsletter, working in close partnership with Global Communications and Regional leadership

Leads the coordination of regular business and global meetings, lunch gatherings, employee experience initiatives

Maintain details of employee milestones, coordinates gifting cadence and recognition announcements

Responsible for distribution of employee yearly gifting and milestone gifting.

Responsible for coordinating summer and winter events for both head office and retail

Managing employee experience budgets with finance team
WELL-BEING
-
Coordinate with Global Social Impact to drive in the Americas zone

Coordinate with Global Wellbeing lead on programming and monthly well-being initiatives
-
Responsible for scheduling in person and virtual well-being events in coordination with external vendors
-
Manage relationship between employee well-being platforms and vendors
ONBOARDING
-
Assist in the induction and training of all new staff in office protocols and ensuring such protocols are maintained in the office
-
Liaise and guide the Hiring Managers through onboarding requirements to ensure that each new joiner has a thorough induction plan in place, supporting with scheduling the first few weeks of onboarding schedule if needed

Creates and distributes Welcome Pack to new starters before their first day

Partner with HRBP to develop a robust Onboarding program including ensuring all New Starters spend time in Aesop’s retail spaces as part of their first 90 days

Ensures new starters are being introduced to the business (e.g. reminds Hiring Managers of announcements, coordinates new starter for weekly Newsletter)

Use a continuous improvement mindset, creates metrics, and identifies and implements opportunities to improve the onboarding and overall employee experience aligned to Aesop’s style and approach

Work with global team to continue to enhance the Americas onboarding program, identifying opportunities for improvement and implementing changes
OFFICE MANAGEMENT & CULTURE

Ensure office opening and closing procedures are undertaken each day and that the general Aesop nature of the offices is maintained (lights, incense, music etc.)

Office maintenance – ensure all physical aspects of the office are appropriately maintained, repaired, and upgraded where applicable, upholding Health and Safety and Security standards

Implementation and maintenance of office procedures and policies to ensure the office runs smoothly, efficiently, and professionally including sourcing of office materials and suppliers, postage and couriers, maintaining hardcopy and electronic filing and managing the office, kitchen, bathroom and reception functions

Manage stock levels of kitchen, bathroom and general office stationery, snacks and all office ordering

Ensure the reception is covered during the hours of 8:30-5:30 Monday- Friday, greeting and hosting visitors upon arrival, including candidates and Global Aesop/L'Oreal visitors

Maintenance of meeting rooms, office desk, kitchen, bathroom and overall office to required standards

Take initiative in communication expectations and office etiquette standards, whilst holding teams accountable

Responsible for distribution of bi-yearly complimentary products to all head office staff
KEY SKILLS & QUALIFICATIONS
-
Strong written and communication skills with proven experience in the compilation and implementation of office procedures and policies.
-
Minimum 2-3 years’ experience working in a similar employee experience/HR role
-
Experience within the retail, customer service, or hospitality industries, with fast paced growth retail environment preferred
-
Previous experience managing events, employee experience moments and budgeting
-
Understanding of Aesop’s approach and a passion for the brand
-
Positive attitude, personable and great at building strong relationships
-
Excellent knowledge of Microsoft office tools Word, Excel and PowerPoint to effectively task manage and support the teams
-
Highly practical problem solving with ability to work tasks and projects to completion within set timeframes
-
Confident in proactively presenting and escalating ideas, improvements and problems to in a manner which ensure continuous improvement
-
Ability to multi-task, be responsive, and take initiative on office matters
-
Creative mindset and ability to spearhead independent projects
-
Ability to think strategically and be efficient in all matter of employee engagement and office management.
What's On Offer
The salary for this position is $70,000-75,000
